Overview
The student database in SchoolCash is maintained through regular uploads from your district’s Student Information System (SIS). These uploads refresh student and course data to keep attachments and eligibility accurate.
How the Student Database Is Updated
- Districts upload an SIS file on a regular schedule. Each upload sweeps and refreshes student and course data.
- New students are automatically attached to active items based on the qualifying attachment type.
- If a course record is no longer included in the scheduling file, the attachment is removed from the student’s profile if the change occurs before the effective cut-off date for required attachments. If the item was attached as required and the record is no longer included in the file, the item will appear as overdue for the student.
Outcome
The student database remains current with district SIS data, ensuring student attachments and eligibility reflect the most recent enrollment and scheduling information. Changes are dependent on scheduled timing.
Troubleshoot
- The course has not changed > verify when the SIS file uploads.
- New students are not attached to the qualifying active items > verify the student is included in the SIS at the school level, then is included in the SIS upload.
